Procedures Manual Continued

Program Committees

 

Authors Brunch

· Committee Chair: Author’s Brunch Chair

· Secure an author

· Secure facilities and make other arrangements as necessary

· Determine menu and costs

· Work with treasurer to establish reservation and collection procedures

· Provide candy treat for participants

 

Awards Banquet

· Committee Chair:  President Elect

· Secure location, menu, prices

· Plan program

· Request member to install new officers (recommended that a past president or NMIRA board member shall install officers)

Newspaper in Education

· Committee chair: NIE chair

· Secure date and program through Albuquerque Publishing Company Representative

· Work with representative for time lines, expectations, etc.

· To be held in March

· 3 classroom newspaper

Welcome Back Reception

· Committee chair: President Elect

· Design event to promote program and membership.

Young Authors

· Committee chair: Young authors chair

· Prepare packet of information for distribution to membership and schools regarding Young Author’s program as determined by the Executive board.

· Arrange for a display from winning schools to be available at the awards banquet.

· Coordinate an opportunity for recipients to give feedback to the council.

Budget

Regional Conference: profits shall be distributed from NMIRA as follows

· 20% to the local sponsoring council

· Profits from each Southwest Regional Conference hosted by the New Mexico shall be pro-rated over a five year period and allotted to each year’s budget. Amounts may vary in allotment per year.

· Eight dollars ($8.00) of the sixteen dollars ($16.00) collected for membership will be used to carry on CRCIRA business. The remaining eight dollars ($8.00) going to the state for NMIRA dues.

· Student membership will be a total of twelve ($12.00): eight  ($8.00) to the state and four ($4.00) to CRC.

Budget Preparation

· Before Fall Executive Board Meeting

· Committee chairs wishing to adjust line item budget allocations must submit requests at the Spring Executive Board Meeting

Membership dues

Travel

When Funds are available, travel reimbursement shall be budgeted and distributed by CRCIRA in the following manner:

· CRCIRA president  will have travel paid to the Regional Conference as budget allows

· The president-elect will have travel paid to the International Convention as budget allows

· Airline coach fare which is economical and appropriately  scheduled or mileage  is 15 cents a mile

· Conference registration

· Lodging for six nights maximum, double occupancy, accommodations not to exceed  one half the average conference center rates.

· Daily meal allowance of $25.00 for a maximum of up to  six days and incidental expenses not to exceed $25.00

· Payment will be made after the conference upon receipt of full documentation of expenditures. Dependant upon available funds, travel advances may be given upon request.

· In the event that the subsidized attendees (president and/or president-elect) are unable to attend the annual IRA convention, other council officers may be designated to represent them. Reimbursement forms shall be submitted with receipts.

· Mileage will be paid for one car to attend out of town State Executive Board meetings, as funds are available

· CRCIRA will pay expenses for additional officers participation in NMIRA Leadership workshop. Officers, who require individual accommodation, will pay personally.

· CRCIRA will pay for all officers lodging (at least double occupancy) for State Executive Board meetings.

Regional Conference Committee chair

Recommendations for selection of Regional Conference Chair from  Camino Real Council IRA.

· should have been closely involved with the planning of the previous regional(s), preferably as a regional program or committee chair.

· Should be a current or recent member of CRCIRA and NMIRA Executive board, and an officer of CRCIRA

· Should have attended state, regional, and international conferences

· Be willing to commit to 3 1/2 years for planning, implementation, and follow-up

· Be willing to form and work with a team of CRCIRA and NMIRA members and international liaisons to plan and implement regional conference chair, past regional program chair, past CRCIRA president, current CRCIRA president, and state conference consultant.

· Nomination committee should meet prior to Fall Executive Board Meeting

· Submit the nomination, time line, date at the NMIRA Fall Executive Board meeting.

Other Considerations:

· District nominee for vice-president of NMIRA serves as regional  conference chair or program chair or program chair at their discretion

· An advisory group made up of members with regional conference experience. (comprised of the steering committee or in additional to the steering committee will be advisors.)
